Supervisor: MBOP Tribal ChildCare Upper Management Team

Shift: Full Time Hourly: $20.00-$23.00 - Administrative Costs

Opens/Closes: Monday - Thursday from 8:00 AM - 5:30 PM & Fridays from 8:00 AM - 12:00 PM

Job Description: The Moapa Band of Paiutes (MBOP) Tribal ChildCare assists eligible Native American/Alaskan Native families living in Clark County access high-quality, low-cost childcare. We strive to increase high-quality, affordable childcare living in Southern Nevada. Moapa Tribal ChildCare is funded by the Child Care and Development Fund (CCDF) through the U.S. Department of Health and Human Services under the Personal Responsibility and Work Opportunity Reconciliation Act of 1996 consolidated funding for childcare under section 418 of the Social Security Act [42 U.S.C. § 618] and made such funding subject to the requirements of the Child Care and Development and Block Grant. MBOP Tribal ChildCare provides subsidy vouchers for eligible families for licensed centers, exempted programs, and In-Home Provider care. MBOP Tribal ChildCare also enforces Health & Safety practices with monitoring and inspections. Our program also operates a Tribally Operated Center on the Moapa Reservation. Our mission is to provide safe, supportive, high-quality cultural and educational childcare services to Native American/Alaskan Native families both on and off the reservation. Providing a healthy childcare experience that encourages each child's social, emotional, and cognitive growth is our purpose. The MBOP Tribal ChildCare Administrative Assistant will perform all clerical and supportive duties under the prescribed methods of the MBOP Tribal ChildCare Program keeping within grant compliance. The TCC Administrative Assistant provides assistance to all departments within the CCDF Program for submissions and will work directly with the TCC Upper Management that consists of: Lead Case Manager, Health & Safety Monitor, Assistant Project Director and the Project Director. The TCC Administrative Assistant also provides needed support for all other staff within the organization.

Essential Duties and Responsibilities:

  • Greet all clients and visitors - provides recommendations according to client needs or preferences
  • Accept applications and route them directly to the Lead Case Manager
  • Answer phones, take messages, routes calls to the appropriate staff
  • Provides printing, copying, and scanning support for document retention
  • Deliver oral or written messages • Manages and routes incoming/outgoing mail • Maintains the master contact list for providers, vendors, and clients
  • Works in coordination with our Tribal Finance and Purchasing Department

  • Preform any/all data entry tasks - Microix and Financial Cuff Account • Maintain files and records - Check and Credit Card document retention
  • Maintain a master calendar for the department and staff attendance • Assists with service delivery for clients (checks or purchases)
  • Minor transportation needed to deliver or pick up items by request (when needed) • Clerical support for Lead Case Manager, Assistant Director, Health & Safety Monitor and Project Director
  • Write and edit documents from letters, reports, and instructional documents • Creates flyers for consumer education for clients and our social media accounts
  • Manages the CCDF Community Bulletin Board
  • Manages the program's social media accounts and sends out mass emails of notices to clients • Assists clients and visitors in the computer lab
  • Prepares agenda and items for TCC Upper Management Meetings (when needed) • Takes meetings minutes per request
  • Stocks, orders, and sorts of various office supplies as needed (inventory management)
  • Reports when repairs or replacements are needed and provides follow up until completion
  • Maintains cleanliness and order in the common areas of the building • Attend Tribal Community events, Outreach Events, and Conferences
  • Participates in mandatory trainings for professional development
  • Preform related duties as required or assist with program needs as other duties assigned under the MBOP Tribal ChildCare Project Director/Assistant Director Other Knowledge, Skills, and Abilities Required:
  • Ability to communicate professionally and work with existing staff, providers (both licensed and in-home), vendors, clients and visitors
  • Ability to communicate well with a broad cross-section of the community that includes low-income residents and members of Native American/Alaskan Native Tribal Members in the urban area
  • Ability to work effectively with Native American/Alaskan Native Tribal Communities on the rural reservation
  • General knowledge/understanding of the pace of bureaucracy in which we work
  • General knowledge in confidentiality, HIPPA, and understand you are considered a “mandated reporter”
  • Once trained, be able to work independently and proficiently to manage all responsibilities
  • Must have experience working with Microsoft 365 Applications: Outlook, Excel, Word, PowerPoint, OneDrive, and TEAMS including Adobe Suite
  • Preform other duties as required Minimum Education and/or Experience Qualifications:
  • Must pass drug employment screening and full background check
  • Must have COVID-19 Vaccination
  • Must have a valid Nevada Driver's License
  • Applicants must have (2) years' experience in data entry and/or receptionist position
  • Applicants must have (2) years' experience in customer service
  • Applicants must have a high school diploma or GED
  • Poses or able to obtain CPR/First Aid Certification

Job Type: Full-time

Pay: $20.00 - $23.00 per hour

Expected hours: 40 per week
