Administrative Assistant - Navacare (Senior Care Navigation Agency)
Navacare, a compassionate and integrity-driven senior care navigation agency, is seeking a highly organized, empathetic, and proactive Administrative Assistant to join our growing team. In this vital role, you'll be the first point of contact for many of our clients, providing essential administrative support that directly impacts our ability to deliver exceptional care navigation services.
Key Responsibilities:
- Client Intake & Database Management:
- Answer incoming calls with impeccable phone etiquette, demonstrating compassion and active listening skills.
- Conduct initial client intake, gathering essential information with sensitivity and discretion.
- Accurately and efficiently load new client information into the company database.
- Track the client pipeline, ensuring all stages of the navigation process are documented.
- Enter detailed notes for all client interactions and updates, maintaining comprehensive client records.
- Scheduling & Coordination:
- Schedule client assessments with Navacare team members, coordinating availability and confirming appointments.
- Manage and organize the assessment calendar, sending reminders and follow-ups as needed.
- Assist with scheduling appointments and tours for clients.
- Communication & Support:
- Serve as a primary point of contact for clients, families, and partners, providing information and guidance as appropriate.
- Assist with outbound communication as needed, including scheduling appointments and tours.
- Respond to emails on behalf of the owner as assigned, managing correspondence with clients, vendors, and community partners.
- Operational Support:
- Assist with social media updates, responses, and content creation, maintaining a professional and engaging online presence.
- Update and maintain standard operating procedures (SOPs), forms, and other internal documents to ensure accuracy and accessibility.
- Manage the client pipeline to ensure effective movement through the process, identifying and flagging any clients falling behind or needing attention.
- Create form letters as needed.
- Create presentations as directed.
- Contribute to a positive and collaborative work environment.
- Reporting:
- Request, run, and distribute weekly and monthly reports as assigned.
- General Administrative Duties:
- Manage and organize digital and physical files.
- Assist with special projects and initiatives as assigned.
- Maintain a tidy and organized electronic workspace.
- Assist owner with administrative support.
Required Qualifications:
- Experience: Proven experience in an administrative support role, preferably in a fast-paced environment.
- Typing Speed: Minimum typing speed of 35 words per minute.
- Technical Proficiency: Demonstrated proficiency in either Google Workspace products (Calendar, Gmail, Docs, Sheets) or Microsoft Office Suite (Word, Excel, PowerPoint). A willingness to learn and adapt to Google Workspace is essential if proficient in Microsoft products.
- Communication Skills:
- Exceptional phone etiquette and clear verbal communication.
- Strong written communication skills, with the ability to compose professional emails and documents.
- Outstanding listening skills with a compassionate and empathetic approach.
- Ability to communicate effectively with diverse individuals, including seniors and their families.
- Work Ethic & Attributes:
- Self-starter with the ability to work independently and as part of a team.
- Highly organized with excellent attention to detail.

Other Duties as Assigned:
The Administrative Assistant may be required to perform other duties as necessary to support the efficient operation of Navacare and its mission. These duties may evolve as the needs of the agency change.
