Procurement Processor provides confidential/ clerical support for processing bids and other contractual information within each department's responsibility; in Procurement department only: set up accounts, process and monitor applications for procurement for procurement cards and process sale of scrap materials/ equipment; in Energy Solutions department only: maintain marketing plans, schematics and pricing information and assess, evaluate and maintain contractors' qualifications. Maintain confidential marketing plans, schematics, and pricing information; coordinate construction/ maintenance projects with internal/ external customers and governmental agencies; maintain status reports of jobs in progress; review forecasts and closings; and provide information to customers, contractors, and Division personnel. Type various forms, certificates, reports, and correspondence: take dictation and transcribe notes; answer telephone, give and receive information and relay messages. Research contract files, previous orders, bid files and departmental files; compile various statistical data; and coordinate, verify/ process invoices in a timely manner. Coordinate departmental meetings, grievances/ hearings; arrange travel schedules/ reservations; notify supervisor as appointments occur and maintain schedules. Handle/ maintain confidential files for the department and for bidders, post updated information to files. Maintain mailing lists of bidders, post updated information to files. Maintain mailing lists of bidders on personal computer and uniform certification agency records. Prepare daily time and mileage reports, annual responsibility budget and special reports/ records pertaining to area involved. Enter/ retrieve data utilizing computer equipment; operate various equipment and Division vehicle. Perform other duties as directed within areas of responsibility.
QualificationsQualification Requirements:
To perform the Clerk 3, you must: -Must pass Division typing test of 45 w.p.m and shorthand test of 80 w.p.m or must have demonstrated ability to transcribe from Dictaphone equipment. -Must have skills in computer software for word processing. -Must have an occupationally significant combination of numerical facility for performing arithmetic computations: verbal ability to communicate with people in acquiring information and answering inquiries; ability to perform clerical duties including composing correspondence using proper rules of grammar/ spelling/ punctuation; clerical perception to proofread, index and file materials; ability to follow instructions and procedures. -Must have a valid driver's license state of residence. Physical Working Conditions:
Works in office under good conditions. Requires light lifting/ carrying up to 20 pounds.
