Administrative Office Assistant - Food Manufacturing (Honolulu, HI)
About UsWe are a growing gelato production business looking for a detail-oriented and proactive Administrative Office Assistant to support daily operations. You will play a vital role in assisting with order management, dispatching deliveries, maintaining inventory, and handling administrative tasks to keep our business running smoothly.
Key Responsibilities
- Provide excellent customer service and assist with order processing.
- Support gelato production scheduling with the Production Team.
- Help manage inventory records in QuickBooks, including supplies and ingredients.
- Assist with delivery coordination, including organizing routes and dispatching drivers.
- Help stage and load items for delivery.
- Receive and check in vendor deliveries.
- Perform basic bookkeeping (A/R & A/P) in QuickBooks.
- Maintain records, logs, and office files.
- Assist with vehicle maintenance paperwork.
- Contribute to a positive and productive team culture.
Skills & Qualifications
- Strong customer service and communication skills.
- Ability to stay organized and work efficiently in a fast-paced environment.
- Attention to detail and ability to multitask.
- Proficiency in QuickBooks, Excel, and email management (Gmail/Outlook).
- Basic knowledge of Oahu's geography for dispatching deliveries.
- Understanding of office operations and management.
- Ability to perform occasional light to medium physical tasks.
Education & Experience
- 1+ years of office or administrative experience.
- Experience in customer service and basic bookkeeping (A/R & A/P) in QuickBooks.
- Familiarity with handling high email volumes using Gmail or Outlook.
- Experience using Excel in a business setting.
- Oahu area dispatching experience is a plus.
- Restaurant or production kitchen experience is a plus.
- Associate degree or equivalent experience (Bachelor's degree a plus).
