Job Objective & Safety/Security Sensitive Designation This is not a Safety-Sensitive Job for Purposes of the Arkansas Medical Marijuana Amendment. This position is not considered Essential Personnel under the LRCVB Inclement weather policy. JOB OBJECTIVE: To coordinate the reservation, booking and scheduling process and related activities for facilities operated by the Little Rock Convention & Visitor's Bureau (LRCVB). Essential Functions
  • Coordinates the reservation, booking and scheduling process and related activities for facilities operated by the Little Rock Convention & Visitor's Bureau (LRCVB).
  • Enters all facility bookings and reservations in the event booking management software systems (EBMS) to verify building usage is maximized; monitors booking system to ensure that events are booked in compliance with applicable LRCVB policies and procedures.
  • Reviews and verifies client's preliminary specifications and related requirements to determine facility space availability for prospective events to include sufficient move-in/out times, availability of appropriate electrical and technical connections, and other related items needed for event; reviews scheduled events to ensure physical feasibility of clients requests and space needs; makes recommendations for scheduling or space conflicts; forwards to appropriate personnel as required.
  • Answers questions and provides information to prospective clients relative to reservations, bookings, contracts, events and operating policies and procedures.
  • Compiles information and sends final contract and related documents to rental contract designee/representative; receives signed contract and appropriate payment; prepares deposit and submits to appropriate personnel for processing; reviews contract and related documents to ensure all requirements are complete to finalize and secure event in EBMS system; notifies appropriate personnel of incomplete contract or related documents.
  • Provides assistance to the Sales & Services Department by reserving dates and facilities required for bid preparation meetings and other related activities to include scheduling site visit tours for prospective clients; conducts tours as necessary; coordinates with other LRCVB staff to reschedule dates tentatively reserved for Departmental activities as needed.
  • Monitors the event software system (EBMS) to ensure daily schedules are accurate and scripted in the system; notifies Departmental staff of any modifications made to event bookings.
  • Serves as primary liaison between LRCVB and local hotels relative to catering needs for events at LRCVB facilities; prepares regular reports to ensure hotels have accurate catering requests.
  • Compiles information and prepares various narrative and statistical reports relative to budget, building usage and related information.
  • Establishes and maintains hard copy and computer files and records relative to booking, reservations, scheduling and related activities for LRCVB facilities.
  • Provides assistance to Event Managers and Event Coordinators by entering event agendas into the event software system (EBMS).
  • Serves as Event Managers to specific client groups utilizing LRCVB operated facilities for single-day, small meetings and events.
  • Operates a personal computer, internet, e-mail and various other software packages in the performance of essential functions.
  • Interacts in a positive and responsive manner with clients, attendees of events, seminar speakers, and the general public.
SUPERVISORY RESPONSIBILITIES: None. Minimum Qualifications, Additional Requirements and Supervisory Responsibilities These knowledge, skills, and abilities are usually, although not always, acquired through the completion of college coursework in Business Administration, Marketing or a related area and two (2) years experience in the coordination, scheduling and booking of meetings and events for a public facility or a related area. Equivalent combinations of education and experience will be considered. ADDITIONAL REQUIREMENTS:

  • Base Plan: $3,000 deductible (in network), $40 co-pay for PCP - $70 co-pay for specialist; Prescription co-pays: $0, $20, $40, $80 copay, $200 Rx deductible for Tier 2, 3, 4
  • Buy-up 1 Plan: $2,000 deductible (in network), $30 co-pay for PCP - $60 co-pay for specialist; Prescription co-pays: $15, $45, $70, $70 copay; no additional Rx deductible.
  • Buy-up 2 Plan: $1,000 deductible (in network), $25 co-pay for PCP - $50 co-pay for specialist; Prescription co-pays: $15, $45, $70, $70 copay; no additional Rx deductible.
  • High Deductible Plan: $2,500 deductible (in network), Prescriptions: Tier 1 10% after deductible; Tier 2 20% after deductible; Tier 3 30% after deductible; Tier 4 $80 co-pay after deductible
  • Effective 1st of the month following 30 days of regular full-time employment

Dental Insurance - Emp: $0; Emp & Spouse: $11.45; Emp & Child: $15.99; Family: $30.39 per pay period
