OverviewWe are seeking a detail-oriented and proactive Administrative Assistant to join our team. The ideal candidate will play a crucial role in supporting daily operations and ensuring the smooth functioning of our office environment. This position requires strong organizational skills, effective time management, and the ability to provide exceptional customer support. Responsibilities

  • Manage and organize office operations, ensuring efficiency and effectiveness in daily tasks.
  • Provide exceptional customer support via phone systems and in-person interactions.
  • Utilize Outlook for scheduling and communication.
  • Maintain organized filing systems for easy retrieval of information.
  • Handle incoming calls, emails, and inquiries with professionalism and phone etiquette.
  • Support team members with administrative tasks as needed.
  • Prepare and review contracts with clients, ensuring they are comprehensive and legally sound.
  • Ensuring contracts are properly executed and signed by all parties.
  • Contact clients via phone, email, or mail to remind them of overdue payments.
  • Answer customer questions and address concerns regarding billing statements.
  • Update account statuses and record payment information.
  • Ensure that office supplies are stocked and equipment is maintained.

Qualifications

  • Proven experience as an Administrative Assistant or in a similar role is preferred.
  • Strong time management skills with the ability to prioritize tasks effectively.
  • Excellent organizational skills with attention to detail.
  • Proficiency in Microsoft Office applications (Word, Excel, Outlook).
  • Familiarity with office management procedures and basic computer skills.
  • Bilingual abilities are required (Spanish/English), and strong communication skills in English are essential.
  • Demonstrated phone etiquette and customer service skills.
  • Ability to work independently as well as collaboratively within a team environment.
