Job Description

  • Title: Front Office Administrator
  • Reports To: Office Manager or designated supervisor
  • Summary: The Front Office Administrator is the first point of contact for visitors and callers, providing a welcoming and professional environment. They are responsible for managing the reception area, handling administrative tasks, and ensuring smooth office operations.

Key Responsibilities:

  • Reception and Customer Service:
  • Greet and welcome visitors, answering inquiries and directing them to the appropriate person or department.
  • Answer and direct incoming calls, taking messages as needed.
  • Manage the reception area, ensuring it is clean, organized, and well-stocked.
  • Maintain a professional and welcoming demeanor at all times.
  • Administrative Support:
  • Sort and distribute incoming mail and deliveries.
  • Prepare outgoing mail and packages.
  • Maintain office supplies inventory and order as needed.
  • Assist with data entry, filing, and other administrative tasks as assigned.
  • Schedule appointments and meetings.
  • Other:
  • Assist with special projects as needed.
  • Perform other duties as assigned.

Qualifications:

  • Education: High school diploma or equivalent.
  • Experience: 1-2 years of experience in a front office or customer service role preferred.
  • Skills:
  • Excellent communication and interpersonal skills.
  • Strong organizational and time management skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to multitask and prioritize effectively.
  • Professional demeanor and appearance.
