- Responsible for coordination, analysis and reporting of student and course data including:
- Student information for graduate follow-up and student outcomes data collection
- Data for official diplomas and certificates of completion at the end of every semester to be sent to Parchment and process replacement requests.
- Date reports and process repeat overrides for Course Program of Study
- Implement and oversee the maintenance and growth of the transfer equivalency table database.
- Manage and maintain the reverse transfer procedure.
- Serve as a liaison between the Records Office and third-party partnerships regarding registration tracking and maintenance.
- Manage all communication that is distributed to students through TargetX in regard to transcript evaluation or degree auditing procedures.
- Responsible for processing degree verification requests from the National Student Clearinghouse (NSC).
- Serve as the primary point of contact for staff regarding program change requests, grade change forms, and transcript order issues, providing guidance, training, and support to ensure efficient and accurate processing
- Field and respond to all faculty inquiries related to registration setup, student enrollment, and grading, delivering accurate information, guidance on institutional policies, and resolving issues in a timely manner.
- Provide training on student records processes to department support staff.
- Supervise student workers and oversee their tasks to ensure efficiency in office operations.
- Oversee preparation, planning, rehearsal, and day-of coordination of honors and commencement ceremonies.
- Work with the Assistant Registrar to update and maintain training documents and external administrative procedures for the department.
- Assist with the setup of registration to include: develop and test prerequisite course rules, coordinate error monitoring and clean-up, and other registration related updates as necessary.
- Continuously evaluate current processes in the Records Office, researching best practices and working with the Assistant Registrar and Registrar to implement improvements.
- Perform other projects and duties as assigned
- Bachelor's degree in a related field or equivalent combination of education and experience.
- Experience in student records, registration, or related areas within higher education.
- Strong proficiency in student information systems and database management.
- Proficiency in Microsoft Office Suite, including Excel, Word, and Access.
- Strong organizational and project management skills.
- Excellent interpersonal and communication skills to collaborate effectively with faculty, staff, students, and external partners.
- Ability to work in a fast-paced, high-stress environment with minimal supervision.
- Knowledge of FERPA regulations and commitment to handling confidential information appropriate
- Experience with student information systems such as Ellucian/Banner.
- Experience with transfer equivalency databases and degree audit systems such as DegreeWorks.
- Experience working with CRM tools such as TargetX or Salesforce.
- Prior supervisory experience.
- Experience managing graduation and commencement processes.
