POSITION PURPOSE:
The purpose of the Administrative Assistant is to support the Flight Department staff in managing routine clerical and organizational tasks.
RESPONSIBILITIES/DUTIES:
- Assist with flight management and Human Resources (HR) regarding resumes, applications, and scheduling of pilot interviews.
- Coordinate with HR, Training, and Chief Pilot (CP) in the on-boarding process for new-hire pilots.
- Cockpit Access Security System (CASS)/Known Crew Member (KCM) administrative duties
- Providing required pilot information to the CP for entry into the CASS database
- Assigning and tracking pilot KCM badges
- Communicating CASS/KCM material to new hire pilots
- Communicating CASS activation/deactivation to CASS Support
- Coding Flight Department invoices and acquiring the proper manager/Director signature
- Assist with Pilot Payroll and Expense Reporting Process
- Submit accurate payroll records for processing in a timely manner
- Work with scheduling to resolve payroll concerns prior to submission to HR
- Collaborate with flight training regarding travel logistics, records, IPADs, phones and other related duties.
- Assist with the sorting and distribute Flight Department Mail
- Assist with agenda creation and dissemination for flight department meetings
- Perform note taking tasks during flight department meetings
- Performs other duties as assigned by the VP Flight Operations
- Adheres to company policies and procedures
- Serve as primary back up to the receptionist during absences, breaks, and as requested by the VPFO.
QUALIFICATIONS:
- Associates Degree or higher education, or equivalent work experience is preferred.
- Proficiency with computers and office equipment is required including knowledge and experience with office software, such as email, scheduling, word processing, and excel spreadsheets.
- Excellent written and oral communication are essential, as well as time management skills, organization, and the ability to prioritize tasks.
