SUMMARY
To assist the Director of Catering and other managers with catering account administration. The Catering Sales Coordinator is a vital position for the departments overall success. The coordinator is the first impression clients will have of us when contacting us for new business and the last when the event wraps up.

EXAMPLES OF DUTIES:
- Lead Catcher: Fields Call in Inquiries and will pre-qualify using the Departments Lead Sheet to determine assignment to the appropriate Manager based on Market Segment Deployment.
- Internal Events: Create and detail the BEO for all In-house event requests. Work as the liaison between the internal client, culinary, AV, and banquet operations teams to ensure a detailed and successful event end-to-end.
- Wedding Room Blocks: Responds to Wedding Room Block Inquiries quoting availability and room rates. Encourages an upsell ancillary event, creates the contract and resume for the group.
- Site Inspections: Conducts site tours of sleeping rooms and event space. Meets with clients as needed.
- Event Contracting: Merges the Event Contract with the information provided by the Sales Manager, sends the draft to the SM to review and approve prior to sending to the client.
- Catering Turnover Process: Owns the Catering Event Turnover Process with the Event Manager and accounting, creates the file folder and label for the Event Manager.
- Maintains the BEO and Resume Binders to ensure these are Up-to-date and current daily.
- Weekly distribution of the BEO and Resume Packets.
- Daily distribution of the Change Log, Revised and Pop up BEOs.
- Create Printed Menu Cards and Labels as needed.
- Monitor and order necessary office supplies for department. Ensuring we are Guest Ready with current Sales Collateral.
- Maintain filing system in accordance with company Standards. Assist other departments as directed by management.
- Additional miscellaneous office tasks as directed by the DOC, Catering Sales Manager and Event Manager.
POSITION EXPECTATIONS
- Full-Time Position and Hours. This position is required Monday through Friday during regular business hours as determined by your leader.
- Present an image of excitement and enthusiasm with a friendly and outgoing personality, while being able to project a professional appearance.
- Complete assigned training and ask questions to ensure understanding.
- Possess a high level of self-direction, self-motivation, and energy to complete your work.
SPECIFIC JOB KNOWLEDGE, SKILL AND ABILITY
- Any combination of education and experience equivalent to graduation from high school or any other combination of education, training or experience that provides the required knowledge skills and abilities.
- Microsoft Office, Hilton OnQ and Delphi/Salesforce experience preferred.
- Hotel or other office hospitality experience preferred.
Job Type: Full-time
Pay: $18.00 per hour
Expected hours: No less than 40 per week
