Administrative Assistant II or III - El Paso District Headquarters - East Area Office - (2500249) Position InformationTxDOTs El Paso District is searching for an Administrative Assistant II or III to join the East Area Construction and Maintenance Office in El Paso, TX! With this position you will enjoy the exciting and rewarding work of shaping the States transportation system while supporting the Area Engineer. This position performs administrative office related work for department staff and the general public. Work requires contact with governmental officials and private entities.
The East Area Office currently has projects across El Paso, Hudspeth and Culberson County including work on I-10, Loop 375 and US62/180 totaling more than $600 million.

Position DescriptionAdministrative Assistant II
Performs administrative office support-related work for department staff, the general public, and one or more projects and specialized programs. Work requires contact with middle and high-level managers and private entities. Employees at this level establish their own work plan and priorities to meet set objectives. Issues are rarely referred to the supervisor but are handled at the occurrence.
Administrative Assistant III
Performs administrative office support-related work for department staff, the general public, and one or more projects and/or specialized programs. Work requires contact with high-level managers, executives, governmental officials and private entities. May serve as a lead worker. Employees at this level establish their own work plan and priorities to meet set objectives. Issues are rarely referred to the supervisor but are handled at the occurrence.
Essential Duties:
Administrative Assistant II
- Attends meetings with supervisor; takes notes, summarizes, and follows up on any actions that need to take place.
- Coordinates, organizes, and composes meeting agendas.
- Answers the telephone, evaluates requests, answers questions, routes messages, and/or serves as receptionist or front desk assistant.
- Conducts annual physical inventory; verifies inventory findings, reconciles and enters adjustments in computer system as needed.
- Edits correspondence, reports, forms, and documents for proper format, spelling, grammar, punctuation, typographical errors, syntax, style, sentence structure, content, and clarity.
- Maintains records and inventories of materials, supplies and equipment.
- Maintains calendars for department personnel to include scheduling meetings, coordinating and making appointments, and travel arrangements.
- Coordinates travel services to include making travel arrangements, securing transportation and lodging services, and submitting reimbursement on the travelers behalf.
- Performs other job responsibilities as assigned.
Administrative Assistant III
- Coordinates and/or prepares periodic special reports.
- Answers the telephone, evaluates requests, answers questions, routes messages, and/or serves as receptionist or front desk assistant.
- Attends meetings with supervisor; takes notes, summarizes, and follows up on any actions that need to take place.
- Conducts annual physical inventory; verifies inventory findings, reconciles and enters adjustments in computer system as needed.
- Coordinates, organizes, and composes meeting agendas.

Education: High School Grad or Equivalent in general education.

Experience: 1 year administrative or clerical support, customer service, business operations, communications, informational, or related experience. (Experience can be satisfied by full time or prorated part time equivalent). College education and/or relevant technical training may be substituted for experience on a year per year basis.
