OverviewWe are a growing, family-owned company, seeking a detail-oriented and proactive Administrative Office Assistant to join our team in North County San Diego. This part-time role is essential in keeping our office running smoothly and supporting our team with a variety of administrative tasks. The ideal candidate will be organized, personable, and tech-savvy, with a strong knowledge of Microsoft products, standard messaging and scheduling apps, and QuickBooks.
Responsibilities:
- Office Management: Ensure the office is clean, organized, and running efficiently.
- Administrative Support: Help with filing, document creation and updates, and managing schedules.
- Subcontractor Documentation: Maintain subcontractor files, including insurance, subcontracts, and onboarding documents.
- Client & Vendor Interaction: Communicate with clients, subcontractors, and professional vendors on various matters such as billing, product specifications, and change orders.
- Marketing Support: Assist with in-house marketing tasks, including gathering client reviews, coordinating photoshoots, and managing content.
- Clerical Duties: Perform filing, updating company insurances, and general office organization.
- Bookkeeping: Handle payables, pull periodic reports, and assist with general financial tracking.
- Team Coordination: Work closely with both office and field personnel to coordinate change orders, track orders, and provide general support.
Requirements:
- Proficient in Microsoft Office Suite, standard messaging, and scheduling apps.
- Knowledge of QuickBooks is required.
- Strong organizational and multitasking abilities.
- Excellent communication skills and a personable demeanor.
- Ability to manage sensitive documents and information with discretion.
